As an Administrative Assistant, you will play a key role in supporting vital social service programs and community initiatives that make a difference in Brooklyn. Whether you're coordinating educational programs, managing resources for non-profits, or assisting government offices with day-to-day operations, your contributions will have a direct and positive impact on these organizations and the people they serve.
Job Duties/Responsibilities:
• Perform general typing and clerical duties including the preparation of meeting minutes, meeting notices, reports and correspondence; filing and photocopying
• Backup the reception desk, screening phone calls, scheduling appointments, and handling mail distribution
• Liaison with other programs and departments throughout the organization.
• Assist with updating various administrative databases as required
• Assist with the maintenance of administrative files and records
• Under the Executive Assistant’s supervision, handle special projects and work with other administrative clerical staff as needed
• Perform other related duties as deemed necessary and appropriate
• Organize and maintain various paper and electronic filing systems and databases
• Prepare forms, emails, letters and reports
• Answer and triage incoming phone calls
• Receive and process mail and fax documents
• Fax, scan/photocopy, email, and upload documents
• Schedule meetings and manage daily schedule for the office
• Meet and greet all incoming guests and visitors
Qualifications:
• Bilingual English/Spanish a plus
• Computer Knowledge: MS Office (Word, Excel & Outlook)
• Education: High School Diploma or Equivalent
• Experience: Minimum of 2 solid years previous Administrative Assistant experience (preferably recent experience)
• Excellent communication skills (oral and written) and organizational skills
• Dependable, detail-oriented, and highly motivated with the ability to work in a fast-paced, high volume office environment
• Willing and able to multitask
• Ability to work independently as well as in a team environment with different personalities
